KeptTrail is run by Daihan Hudson.
1. Who we are #
KeptTrail is software that helps contractors and service businesses quote, invoice and get paid, and helps homeowners keep a record of their home. Daihan Hudson decides how your personal information is used under this policy. This policy covers kepttrail.com and the KeptTrail app. Questions? Email [email protected].
If you're a client of a contractor who uses KeptTrail, that contractor also decides how they use the details they add about you. You can ask them too.
2. What we collect #
- Account and contact details: your name, email, business name, and the role you choose (contractor, homeowner, landlord or tenant).
- Job and home details: addresses, scopes, quotes, invoices, notes, home records and messages you write in the Service.
- Details other users add about people: for example, a contractor adding a client's name, email and address, or a landlord inviting a tenant.
- Photos and voice notes you take in the app, and the written-up text made from them (see section 3).
- Payment information: amounts, dates and status of payments and payouts. You enter card and bank details with Stripe. We don't receive or store full card numbers.
- Support messages: what you email us.
- Feedback you send: if you use the Send feedback button, your note, any screenshot or voice note you add, and the page, app version and device details (browser, screen size), which are added for you.
- Device and usage information: for example, browser and device type, pages used, how fast pages load, the site that sent you, sign-in times and error logs, to keep the Service working and secure and to improve our website (see section 12A).
- Location: only the addresses you enter. We strip location data from photos (see section 3).
We get this information from you, from the people you work with through KeptTrail (for example a contractor adding your name and address to a quote, or a landlord inviting you), from Stripe (payment status), and automatically from your device when you use the Service.
3. Photos and voice notes #
We don't send your photos or voice notes to any AI service. Voice notes you record in the app stay on your device. If a voice note isn't used, the app deletes it from your device after 7 days. Photos you save to a job stay until you delete them or close your account. We don't use photos or voice notes to identify people, and we strip location data from photos. If we turn on automatic write-ups from photos or voice notes, we'll update this policy first and say who processes them.
4. How we use your information #
We use your information to run the Service for you (make drafts, store jobs and records, and send quotes, invoices and portal invites), to process payments through Stripe, to answer support requests, to keep the Service secure and prevent fraud, to send account and billing emails, and to meet our legal duties. We don't sell your information and don't use it for advertising.
5. Payments (Stripe) #
Payments are processed by Stripe. When you pay by bank, you authorize the debit through Stripe's bank-payment form. Stripe's privacy policy (stripe.com/privacy) explains how Stripe handles your payment details. KeptTrail never sees your full card or bank number.
6. What contractors and clients share with each other #
To run payments, KeptTrail shares a contractor's account, job and invoice details, and the client's name, email and payment amounts, with Stripe. Stripe shares account, payment and risk information with KeptTrail. Contractors who use KeptTrail see their clients' names, contact details, job details and payment status, but not full card or bank numbers. Each contractor is responsible for how they use their own clients' information.
7. Who we share with #
We share information with service providers that help us run KeptTrail, only so they can do that work for us: cloud hosting, website analytics (section 12A), payment processing (Stripe), message translation (section 10) and email delivery. We also share information when the law requires it, to protect people or the Service, or if KeptTrail's business is transferred (for example to a KeptTrail LLC), and we'll tell you if that happens.
8. California privacy rights (CCPA/CPRA) #
In the last 12 months we collected these categories of personal information: identifiers and contact details, audio recordings (voice notes you add to feedback, and voice notes kept on your device), photos, job and home details, payment records (not full card numbers), account login details (your email and password, if you set one), and internet or device activity. We disclosed them for business purposes to service providers: cloud hosting, website analytics, payment processing, translation and email delivery. We don't sell or share personal information (as California defines those words), and we don't use sensitive personal information to infer things about you.
9. How long we keep it #
- Account details (name, email, business name, role): while your account is open, then as in "After you close your account".
- Jobs, quotes, invoices, messages, photos, write-ups and home records: until you delete them or close your account. Homeowners keep the records a contractor shared with them.
- Voice notes in the app: kept on your device, and deleted from it after 7 days if they aren't used.
- Records of your plan sign-up and consent to renewal: at least 3 years, or 1 year after your plan ends, whichever is longer.
- Support emails: 2 years after we close the request, or 3 years for billing questions, then deleted.
- Feedback notes, screenshots and voice notes: until we've dealt with them, and no longer than 1 year.
- Payment and tax records: as long as tax and accounting laws require.
- Device and usage logs: a short time.
- After you close your account: after a short grace period, we delete or de-identify your information within a reasonable time, except what we must keep by law. Backup copies are overwritten within a reasonable time.
10. Message translation #
If you or the person you're messaging uses translation, the message text is translated by AI tools run by our cloud hosting provider. The original message is kept alongside the translation.
11. Homes, landlords and tenants #
- A home's record can include more than one person, for example co-owners, or a landlord and tenants. People on the same home can see what's shared on that home.
- Landlords choose what tenants see. Tenants see only what the landlord shares, plus their own requests and messages.
- Tenants: the landlord who invited you can see what you post to the home's portal. If the landlord's plan ends, your portal access may end. You can ask us for a copy of what you posted.
- When a home is sold or a tenancy ends, the owner or landlord can remove people from the home.
- We don't give tenant scores or screening.
- Share links: if you make a link to share a home record or a calendar, anyone with the link can see what you chose to share until you turn the link off. Stickers and QR codes on equipment show that item's history, not your name or contact details.
12. Your choices and rights #
You can ask to see, get a copy of, correct or delete your personal information by emailing [email protected]. We'll confirm we received your request within 10 business days and respond within 45 days. We may extend that once if we tell you why. We may need to check it's you. We won't treat you differently for using your rights. You can let an authorized agent ask for you. Some information we must keep by law, and for information a contractor holds about their own clients, you may need to ask that contractor too. You can stop non-essential emails using the link in them.
We don't sell or share personal information, including of anyone under 16. The Service is for adults 18 and older, and we don't knowingly collect information from children under 13.
12A. Cookies, analytics and Do Not Track #
We use only the cookies and similar browser storage that KeptTrail uses to work: keeping you signed in, remembering the role you picked, and remembering a referral link you followed. We don't use advertising cookies.
To see how our pages load and which pages are used, our website uses Cloudflare Web Analytics. It doesn't set cookies or use browser storage, and it isn't used to follow you across other websites. When a page loads, it reports things like the page address, the site that sent you, your browser and device type, your country and how fast the page loaded. Cloudflare provides it as a service to us. We see totals, not individual visitors.
We don't let other companies track you across websites through KeptTrail. Because we don't track anyone across other sites, there's nothing for a browser "Do Not Track" signal to turn off. We treat everyone the same way: no cross-site tracking. If your browser sends Global Privacy Control, we also treat it as a request to opt out of any sale or sharing of your information.
12B. Security and de-identified data #
We use reasonable safeguards to protect your information, such as encrypted connections and access limits. No system is perfectly secure. If we use information that has been de-identified (so it can't reasonably be linked to you), we keep it that way and won't try to re-identify it.
13. Changes and contact #
We may update this policy. We'll post the new version with a new "Last updated" date, and for important changes we'll email your account email before they take effect.
Questions about your information, or want something deleted? Email [email protected].
